Hillingdon Flooring Company (HFC), an SME based in Langley in Berkshire is avoiding the impact of the postal strike after going paperless.
Using Spindle Professional, Draycir’s paperless office software, the company is currently sending 60-65% of all its correspondence, including invoices, supplier remittance advice, customer statements and reminders on overdue accounts out electronically via email and fax.
With current annual cost savings of over £1,825 secured just on reduced postage costs alone, HFC is working towards being 95% paperless – moving away from the post for the sending out of quotations and invoice balances too.
Darrell Carey, Managing Director of Hillingdon Flooring, said: “If we hadn’t started using the paperless office software, the impact of the postal strike could have been potentially devastating especially for our supply chain.
“For example, we paid our suppliers today via BACS. As our remittance advice is sent automatically through Spindle Professional, all our suppliers have received payment confirmation. If the remittance had been posted it would take, optimistically, until the middle of next week, if at all, to be received.
“The impact of the postal strike is that many suppliers wouldn’t even know that they’ve been paid and could delay sending out supplies if our account showed up as overdue or unpaid as a result of the remittance not being received.
“As we supply flooring on a commercial scale to social housing developments, for example, it is critical that we have a continual and stable supply chain. If not, there could be far-reaching consequences, even the loss of large contracts if the goods don’t get through. This really underscores the importance of switching to paperless as an alternative to the postal system."
